Have you ever wondered if you are contributing correctly toward your retirement? Are you sure that all the companies you’ve worked for registered you properly, or how many days you are short of qualifying for a specific benefit?

Your professional and future peace of mind has a name: the employment history report. This document is the official record of your career in Spain, the only reliable proof of your work history.

It is the key tool for defending your rights and planning your future. In this guide, we’ll explain what it is, how to request your employment history report through all possible channels, and how to interpret it without getting lost.

What is an employment history report and what is it for?

The employment history report is your official record as a worker with the General Social Security Treasury (TGSS).

It is a document that certifies all your periods of activity (registrations and de-registrations) under the different contribution regimes, the companies you have worked for, and the total number of days you have contributed.

Knowing what your employment history report is for is essential: you will be asked for it when applying for unemployment benefits, retirement, scholarships, civil service exams, and even by some banks to analyze mortgage risk. It is proof of your experience and contribution history.

Prerequisites and methods for requesting your employment history report

Knowing how to request your employment history report is now easier than ever. The essential requirement is to be able to securely verify your identity with the Social Security administration.

The fastest methods are digital, but options are also available if you do not have access to them.

You can obtain it immediately (online) or receive it at your home address (by mail), depending on the channel you choose.

Requesting your employment history report online with a certificate or cl@ve

This is the fastest and most recommended method for instantly downloading your employment history report in PDF format. If you have a Digital Certificate, electronic ID, or are registered in the Cl@ve system (either Cl@ve PIN or Permanent), you will have immediate access.

Simply log in to the Social Security “Import@ss” portal, identify yourself, and you will have the document in less than a minute.

Requesting via SMS (one-time code)

The employment history report via SMS option is the most convenient if you do not have any certificates. The only essential requirement is that your current mobile phone number is registered in the Social Security (TGSS) database.

When you request it, you will enter your details (ID number, date of birth) and receive a one-time code on your mobile phone to access and download the report.

Requesting without a certificate: online form or phone

If you cannot use the above methods, you can request your employment history report without a certificate. You will need to fill out an online form on the TGSS website with your personal details.

In this case, the report cannot be downloaded immediately; it will be sent by mail to your registered address. You can also request your employment history report by phone, where an operator will perform the same procedure for mail delivery.

Requesting your employment history report from abroad

Obtaining your employment history report from abroad is a common challenge. If you have a valid Spanish Digital Certificate on your computer, that is the easiest way.

If you do not have one, and your phone does not receive SMS messages abroad, the only remaining option is usually the “without a certificate” request, which will be sent by mail to your last registered address in Spain. Alternatively, you can use the Cl@ve system if you registered for it in person before you left.

How to read your employment history report: understanding each section

Knowing how to read your employment history report is just as important as requesting it. The report can be dense, but the key is to understand its columns.

You will see each company (with its Contribution Account Code, or CCC), the regime (General, Self-Employed-RETA, etc.), the registration date (start date), and the de-registration date (end date).

It is crucial to look at the abbreviations “C.T.” (Type of Contract) and “C.T.P.%” (Part-Time Work Percentage). At the top of the document, you will see the total number of days contributed. Pay close attention to the footnotes, which clarify situations like concurrent employment or part-time contracts.

Quickly calculating your contributed years (manual method)

To calculate your contributed years for retirement, it is not enough to simply add up the years you have worked. The figure that matters is the “Total number of days registered” that appears at the top of the report.

That is the official tally. To find out the number of years, simply divide that total number of days by 365. The result will give you the exact number of contributed years you have accumulated.

The “negative” employment history report: what it is and when you need it

A “negative” employment history report sounds bad, but it is a very useful official document. It is simply a certificate that proves a person has no record of activity registered with Social Security for the dates consulted.

It is a common document that you may be asked for when applying for certain subsidies, assistance benefits, or unemployment, to prove that you are not currently working.

Common errors and how to correct them step-by-step

Your report may contain errors. It is vital to correct your employment history report if you detect incorrect data, as an error in the dates or days contributed can drastically affect your future benefits.

The most common errors are missing companies, incorrect de-registration dates (missing days), or part-time contracts listed as full-time (or vice versa).

Always compare the report with your contracts and pay stubs. If something doesn’t add up, you must take action.

How to request a correction (rectification)

To request a correction to your employment history report, you cannot use an email template. You must do it through the official Social Security online service named “Rectification of employment history report.”

You will need to identify yourself (Cl@ve, Certificate) and fill out a form that clearly explains the error: the company, the exact period that is missing or incorrect, and attach any evidence you have (contract, pay stubs, severance agreement) that supports your claim.

Special cases: self-employed, domestic, and agricultural workers

The report does not look the same for everyone. The employment history report for self-employed workers (RETA) does not list companies, but rather the periods during which you were registered as self-employed, along with your different contribution bases if they have changed.

In the case of domestic workers, the report is crucial for seeing the contribution periods and hours worked for each employer, as it is a special regime. In the agricultural sector, the report will reflect the actual days worked, which may be discontinuous.

Your history in order: the first step for your future

As you have seen, the employment history report is more than just a document; it’s the official record of your career and the guarantee of your rights. Keeping it updated and knowing how to interpret it gives you control.

Don’t leave your future to chance. Use this guide to download your report today and verify that every day of your hard work is correctly recorded.

Frequently Asked Questions

We answer the most frequently asked questions about how to request and interpret your employment history report in Spain.

How long does it take to receive the report if I request it without a certificate?

If you request your employment history report without digital identification (using the online form or by phone), Social Security will send it to you by mail.
It usually takes 3 to 7 business days for the report to arrive at your registered address, though it may take a little longer depending on the time of year and the mail service.

Can I get the report if I have changed my address or mobile phone number?

It depends on the method. If your mobile phone number doesn’t match the one in the TGSS database, you won’t be able to use the SMS method. If your registered address is incorrect, you won’t receive the letter if you request it “without a certificate.”
You must first update your information through the “Report change of address” or “Report telephone number” service on the Import@ss portal, which requires digital identification.

Why is a company or an old contract missing from my report?

This may be due to an administrative error or, in the worst-case scenario, because that company never registered you correctly. Check your pay stubs and contract from that period.
If you have proof, use the “Rectify employment history report” service to provide the documentation and claim that period. This is crucial for your future retirement calculations.

I had an amazing experience working with Dario and his team throughout my visa process. They made everything completely stress-free and were incredibly helpful every step of the way. Dario speaks excellent English, which made communication easy and comfortable, and he was always responsive, patient, and clear in explaining everything. He and his colleagues handled every detail with care, efficiency, and in a very timely manner, which gave me a lot of confidence and truly made my life so much easier throughout the entire process. By far the best lawyer I’ve worked with in Barcelona. I couldn’t have asked for a better experience and would highly recommend Dario and his team to anyone needing help with visas or immigration.

A friend recommended Illay Legal to help obtain my permanent residency in Spain. Exceptional service! Marc explained every part of the process clearly and precisely. Once I provided all the necessary details, the team did all the work: pre-completed the necessary paperwork, helped retrieve padron and digital tax certificate, secured appointments in my preferred neighbourhood and checked in with me before and after both appointments. I subsequently switched both my tax and business accountancy contracts to Marc's firm and have enjoyed the same very high level of service. Communication via email and WhatsApp, and extremely responsive to answering any small or large questions/concerns. A huge endorsement to the whole team - I would highly reccomend. Regards Ismail

Lawyers I truly trust and genuinely enjoy working with. Huge thanks to Marc and Soundous for guiding me through a very stressful documentation process over the past few years. Together we managed to resolve a complicated situation I ended up in because of a bureaucratic issue with my previous paperwork. They have well-organized processes and a lot of experience with different kinds of cases — even the tricky ones. Whenever I was stressed or freaking out, they were always there to reassure and support me. That human approach means a lot. With them, you are in very good hands 💚
